JOB TITLE: Confidential Assistant (Director of Public Safety)

HOURS/WEEK: 35 hrs. per week

JOB DESCRIPTION: Represents Director in interacting with the public, department heads, special interest groups, media and other state, local and federal agencies. Assists the Director with inquiries and complaints. Assists with the explanation of policies, procedures, regulations and the department's position on issues. Keeps Director informed of sensitive issues and potential problems. May be required to assist Director with special projects as needed.

Screens and prioritizes mail including intradepartmental mail. Formats and types a variety of materials, including confidential personnel matters, from written drafts. Maintains personnel and confidential files. Performs related work as required by the Director.
Directly responsible for maintaining financial and/or personnel records, including payroll, checking and approving invoices and vouchers, and collecting and depositing money.

Annual budget preparation; payment of and preparation of purchases; provide monthly detailed statements of the budget to the Director.

JOB QUALIFICATIONS: Able to read, write, speak and understand English sufficiently to perform the duties of this job. Possess a NJ Driver's License. Familiarization of Microsoft Office programs. Able to carry out instructions. Skill in typing and setting up difficult/complex formats. Knowledge of establishing and maintaining records and files. Ability to maintain cooperative working relationships with the department and with outside departments and agencies.
